1. Scope of this Policy

This policy governs all payments made to WTS ("we", "us", "WTS") for counselling, university application assistance, visa filing support, education loan facilitation, scholarship assistance, and test preparation (IELTS, TOEFL, PTE, GRE, GMAT, SAT, Duolingo) services booked through our website, offices, or authorised representatives.

It does not cover third-party fees paid directly to universities, embassies, visa authorities, test-conducting bodies (e.g. IDP, British Council, ETS, Prometric), or banks/NBFCs for education loans. Those bodies have their own refund rules, which we help you understand but cannot override.

In short: WTS refunds relate only to the service fee you pay us for our own counselling, processing, and support work — not to statutory or third-party charges paid on your behalf.

2. 7-Day Free-Look Cancellation

You may cancel any service package within 7 calendar days of the payment date, for a full refund of the service fee, provided:

  • No university application has been submitted on your behalf, and
  • No visa filing, SOP/LOR drafting, or test-prep session has commenced, and
  • No third-party fee (application, test registration, courier) has already been paid out on your behalf.

This window exists so you can change your mind shortly after enrolling, with no questions asked. Requests after day 7, or after any of the above work has started, move to the eligibility table below.

3. Refund Eligibility by Service

Eligibility depends on how much of the service has already been delivered at the time you ask to cancel.

"Pro-rated" refunds are calculated on a straight-line basis: (total sessions or applications remaining ÷ total contracted) × fee paid, unless a different split is stated in your service agreement.

4. Non-Refundable Amounts

Regardless of when you cancel, the following are never refundable because they are either consumed immediately or paid onward to a third party:

  • University, embassy, visa authority, or test-body application fees already remitted on your behalf.
  • Courier, notarisation, translation, or document-attestation charges already incurred.
  • Bank loan processing or disbursement charges levied by the lending institution.
  • A one-time registration/onboarding fee (if applicable to your package), which covers profile setup and initial evaluation.
  • Any session, class, or mock test already attended or delivered.

Please note: If a visa or university application is rejected after submission, the WTS service fee for that filing is not refundable, since the professional service (preparation and filing) was fully rendered. We will, however, advise you on reapplication at no additional counselling charge where our error is at fault see Special Circumstances.

5. How to Request a Refund or Cancellation

  1. Notify us in writing — Email info@wtsvisa.com or WhatsApp +91 91160 76837 with your registered name, mobile number, and receipt/invoice number.
  2. State your reason — Tell us which service you wish to cancel and why this helps us route your request to the right desk and check eligibility quickly.
  3. Verification call — A senior counsellor calls within 2 business days to confirm the stage of your file and the applicable refund amount, if any.
  4. Confirmation & payout — You receive a written confirmation of the approved amount, followed by the refund to your original payment method.

6. Processing Timeline

  • Day 0 — Request received: Acknowledged by email/WhatsApp within a few hours.
  • Day 1–2 — File review: Counsellor confirms stage of work and eligible amount.
  • Day 3 — Approval & sign-off: Written confirmation of the refund amount is sent to you.
  • Day 4–14 — Refund processed: Amount is credited to your original payment source.
  • Day 14+ — Bank reflection: Allow extra time for your bank/card network to post the credit.

Refunds are made only to the original mode of payment the same bank account, card, or UPI ID used to pay us. We do not issue refunds in cash or to a third-party account.

7. Deductions & Adjustments

  • Payment gateway or bank transaction charges actually incurred (typically 2–3% for card/net-banking payments).
  • Value of any service already delivered, calculated as described in the eligibility table.
  • Any third-party fee already paid out on your behalf, as listed under Non-refundable Amounts.

The net amount and its calculation will always be shared with you in writing before the refund is processed, so there are no surprises.

8. Special Circumstances

We recognise that not every cancellation fits a standard rule. The following are handled case-by-case, generally in the student's favour:

  • Visa refusal not attributable to the student — where documentation prepared by WTS is found to be materially incorrect, we will re-file at no additional service charge.
  • Medical emergency or bereavement — supported by valid documentation, may qualify for an extended cancellation window beyond 7 days.
  • University or course withdrawal — if your offer is withdrawn by the university through no fault of yours before enrolment, unused application-stage fees are refundable.
  • Force majeure — events beyond reasonable control (natural disasters, government-imposed travel bans, embassy shutdowns) may pause timelines rather than trigger automatic refunds; we will work with you on the best available option.

9. Rescheduling vs. Cancelling

If your intake, test date, or counselling session simply needs to move rather than cancel outright ask us about rescheduling first. Most session and test-prep bookings can be moved to a new date free of charge with at least 48 hours' notice, which avoids any refund deduction entirely.

10. Disputes & Escalation

  1. Reply to your confirmation email requesting a review, explaining why you believe the amount or eligibility should differ.
  2. A branch manager will review your file and respond within 5 business days.
  3. If unresolved, you may escalate to info@wtsvisa.com marked "Attn: Grievance Redressal" for final internal review.

This policy is governed by the laws of India, and any dispute not resolved internally is subject to the exclusive jurisdiction of the courts at Udaipur, Rajasthan.

11. Frequently Asked Questions

I paid but haven't had my first counselling session yet can I get everything back?

Yes. If no session has been delivered and no third-party fee has been paid on your behalf, you're entitled to a full refund of the service fee, whether or not you're still inside the 7-day window.

My visa was rejected do I get my visa assistance fee back?

The service fee for filing is non-refundable once the application has been submitted to the visa authority, since the professional work was completed. If the rejection stemmed from an error on our part, we re-file at no extra service charge.

How will I receive my refund?

To the exact bank account, card, or UPI ID you originally paid from. We cannot redirect refunds to a different account or pay out in cash.

Can I switch my package instead of cancelling?

Yes many students convert an unused portion of one service (say, test prep) into credit toward another WTS service instead of requesting cash back. Ask your counsellor about a package transfer.

What if I paid through a third-party finance/EMI plan?

Refunds on EMI-financed payments are returned to the financing partner, who will adjust your outstanding EMI schedule directly. Processing may take a little longer than a standard refund.
